Everyday problems, and the screens that fix them

“I spend two days ticking the payroll printout against our ledger.”

Treasurer, staff cooperative

Upload the payroll sheet. See every mismatch first.

  1. Ready, short-paid and problem rows counted for you
  2. Unknown staff numbers kept out of the posting
  3. Each short payment listed with the exact shortfall

Use case · illustrativeThe accountant uploads September’s sheet: 47 rows are ready, two members were short-paid and one staff number is unknown. The 47 post; HR sorts the rest.

Monthly deductions, step 3 Check: 47 rows ready, 2 short paid, 1 problem; the short-paid and problem rows are listed before anything is posted

Why cooperatives choose Alajeseku

Good for the office. Better for members.

Every naira has a receipt

Cash at the counter always prints a receipt. Reversals keep the original and say who reversed it and why.

For example: A member disputes a ₦10,000 deposit. The clerk finds the receipt, the reversal and the reason in under a minute.

Members trust what they can see

Statements on request, and a member app where members see their balances and pay with Paystack.

For example: Members check their own savings on payday instead of queueing at the office.

Right for a one-person office or a full committee

Give each person the jobs they actually do. One person can do all four; their approvals are allowed and recorded.

For example: In a 30-member cooperative, the secretary is clerk, accountant and approver, and every approval she makes is still on record.

Ready on the first day

Your chart of accounts, savings and loan products and fees are set up when your cooperative is created. Practise on the training cooperative first.

For example: A new treasurer records a deposit on the made-up cooperative before touching real money.

Accounting

The books, done properly.

Real double-entry books, not a spreadsheet: every naira posted as it happens, reports ready when the committee asks, and months closed in order.

  • Double entry behind everythingEvery receipt, payment, loan and deduction posts balanced debits and credits on its own. Nobody keys the ledger twice.
  • A chart of accounts on day oneA cooperative chart, with savings, loans, income and expense accounts, is ready when your cooperative is created.
  • Journal entries with a checkAdjustments go through journal entries. A back-dated one waits as a draft for a Manager or Admin to post.
  • Reports ready any dayTrial balance, balance sheet and income statement from the day’s postings, in PDF or Excel.
  • Any account, any periodThe general ledger and bank statement for any account and dates, downloaded to Excel for the auditor.
  • Months that close and lockMonths close in order once the trial balance balances and deductions are posted. A closed month can’t change.
Balance sheet: assets equal liabilities plus equity

Access control & data security

Members’ money, in safe hands. Every pair of hands on record.

Passwords and sign-in codes are hashed, payment keys never touch our database, each cooperative’s data is kept apart, and every staff action is recorded.

The four staff roles: Clerk, Accountant, Manager and Admin The audit log: who did what, when and from where
  • Each person sees only their work

Four staff roles. Every action is checked against the role’s permissions, and each person sees only their work.

  • Someone else approves

Whoever raises a payment or a loan can’t approve it, unless they’re the only one allowed to. Then it’s flagged in the audit log.

  • Every staff action on record

Every staff action is written to an audit log that managers review. There is no screen to edit or delete entries.

  • Months close and lock

A closed month can’t be posted into. Back-dated entries are flagged for review.

  • Payouts only to complete bank details

Nothing is paid out until the member’s bank details are complete. Cash at the counter always gets a receipt.

  • Your cooperative’s data is kept apart

Everything is automatically limited to your cooperative. Staff of another cooperative are refused.

  • Passwords hashedPasswords, one-time codes and app sign-in tokens are stored only as one-way hashes (bcrypt), never readable.
  • Payment keys stay outThe Paystack secret lives only in server settings, never in our database, and every Paystack notification is signature-checked.
  • Details maskedPasswords and tokens never appear in logs, bank account numbers show only the last 4 digits, and platform staff can’t see members’ personal details.
  • Member app sign-inShort-lived sign-in, a lockout after repeated wrong passwords, and strong passwords checked against known breaches.
  • Secure linksEvery page and link is served over HTTPS.

Questions

Can I try it before talking to you?

Yes. Book a demo and we’ll give you a practice login to the training cooperative, where every role and report works on made-up data.

Can we bring our members over from Excel?

Yes. Import members from a spreadsheet, then add savings plans and loans as they are today.

Does it handle salary deductions from our employer?

Yes. You download the month’s sheet, the employer fills in what they deducted, and you upload it back. Nothing posts until you have checked it.

We are a small office. Do we need four people?

No. One person can do every job. Their own approvals are allowed and recorded in the audit log.

Who can see our members’ records?

Only your staff, each according to their role. Every change is in your audit log.

What does it cost?

It depends on the size of your cooperative. Talk to us and we’ll give you a price for yours.
